As directed by the State Deputy, I have written the minutes of the last E-Board and requested Greg Taillon to published them on the State Website. Reports for the different ministries have been created and I have referenced them as appropriate in the various sections. If you find anything materially incorrect, please email me and I will address the areas of concern.

Worthy Grand Knights, Faithful Navigators, and Brothers All,
To begin with, there is now a single Directory record for each Council and Assembly on the Website. So there is no longer the need to create a new record each year. If the Grand Knight or Faithful Navigator is replaced, a simple request can be made to me to have their record ownership assigned to them or their FS/FC. The contact information in the record can be updated at any time during the fraternal year, but the information for the Directory submission must be updated before the deadline of June 20th. This gives me time to pull and format the data for the printed Directory. I try to complete my editing and send the final proof to the printers (R.C. Brayshaw) the first week in July. Hopefully in enough time for the directories to be ready for distribution at the July GK's Organizational meeting.
Unfortunately, this year, we had a large number of Councils who did not update their data till well after the deadline. Our State Deputy decided to delay sending the directory to the printers until after our State Officers contacted the late councils additional times and got the number of late councils down to 9 or 10. With the help of DM Jay Morris we got the late assemblies down to 1.
Next year there will be no updates after the June 20th deadline. If your Council/Assembly was not updated, it will not appear in the State Directory! You have been given fair notice!
Please work with me to improve the publication process by doing your part to update your contact information. I know that you are busy leading your Council/Assembly. Please consider using some "Delegation" to involve other members of your Council/Assembly staff. It will save you time and benefit another knight by getting him involve in the administration of his Council/Assembly!
The intent of this memo has been to:
1) Inform you of the process we use to produce the State Directory each year and
2) To request that you check your Directory Record on the list below to make sure that the person (Email Address) listed is who you wish to make your updates for you. If not, please contact me and simply request either yourself or your FS/FC to be the owner of the record. Once this done, the owner will be able to update any changes throughout the fraternal year.
Please consider announcing your Slate of Officers at your April Business Meeting. This way you will be able to hold your elections in May giving you more than 20+ days before the State Directory Deadline of June 20th. If you will be stepping down at the end of the fraternal year, please work with your successor to update your Council/Assembly directory record using the tools on the Website. If needed, a request can be sent to me to change the ownership of the record at that time or after the deadline. Please place a priority to get your contact information both correct and formatted as per the Directory form. For example, Use proper case! Do not type in Capitals, Phone numbers should be entered in 603-123-3456 format with no parentheses around the area code. Please do not proceed phone numbers with a "1". For GKs, please determine your Delegates during your elections and include their Names, Phones and Emails on the Directory form. Councils need 2 Delegates and 2 Alternates. These are necessary from the beginning of the fraternal year and not just at the Convention.
